Mind Coach, LLC ("Mind Coach," "we," "us," or "our") provides ADHD and executive coaching services, including content published at mind-coach.com (the "Site"). This Privacy Policy explains what information we collect, how we use it, and the choices available to you. It applies to visitors to the Site, newsletter subscribers, and current and prospective coaching clients.
By using the Site or engaging our coaching services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Site or our services.
1. Information We Collect
1.1 Information You Provide Directly
We collect information you choose to share with us, including:
Contact details: name, email address, phone number, and mailing address submitted through contact forms, intake forms, or scheduling tools.
Coaching intake and session information: goals, background, and other information you share during intake calls or coaching sessions.
Payment information: billing details processed through our third-party payment processor(s), Square and PayPal. We do not store full payment card numbers on our own systems.
Newsletter and marketing preferences: information submitted when you subscribe to our newsletter or blog updates.
Communications: messages you send us by email, form, or social media.
1.2 Information Collected Automatically
When you visit the Site, we and our service providers may automatically collect certain information through cookies and similar technologies, including:
IP address, browser type, device type, and operating system.
Pages visited, time spent on pages, referring website, and general location (city/region level).
Site analytics collected through tools such as Squarespace Analytics, Mailchimp, and Google Analytics.

2. How We Use Artificial Intelligence
We use artificial intelligence (AI) tools in limited ways in our practice, and we believe you deserve clarity about how. This section is intended to be read alongside, not instead of, the confidentiality terms in your coaching agreement.
2.1 AI in Content and Marketing
We may use AI-assisted tools to help draft, edit, or optimize blog posts, newsletters, and other public-facing content. All published content is reviewed and approved by a human before it is published, and reflects Adela Baker's own voice, expertise, and judgment.
2.2 AI in Coaching Sessions
Mind Coach, LLC does not use AI notetaking, transcription, or similar tools during coaching sessions. If a client chooses to use their own AI notetaking or transcription tool during a session, that is the client's choice: the client must disclose its use in advance and is solely responsible for that tool and the data it generates, as set out in the coaching agreement. Details specific to your engagement are governed by your coaching agreement, which takes precedence over this general policy where the two address the same topic.
2.3 What We Do Not Do
We do not sell, license, or otherwise provide your personal information or coaching session content to third parties to train their general-purpose AI models.
We do not use your identifiable coaching content to train, fine-tune, or improve any AI system without your separate, explicit consent.
Any AI tool we use for content or business operations is selected with attention to that vendor's own data handling and confidentiality commitments.
We encourage you to ask us directly if you have questions about a specific tool in use at any given time, since tools and vendors may change.
3. How We Use Your Information
We use the information we collect to:
Provide, schedule, and administer coaching services.
Process payments and maintain business records.
Send newsletters, blog updates, and other communications you have opted into, and allow you to opt out at any time.
Respond to inquiries and provide customer support.
Improve the Site and our services, including through aggregated or de-identified analytics.
Comply with legal, tax, and regulatory obligations.
Maintain the security and integrity of the Site and our business systems.
4. Cookies and Analytics
The Site, hosted on Squarespace, uses cookies and similar technologies to operate the Site and understand how visitors use it. Cookies are small data files stored on your device. You can set your browser to refuse cookies or alert you when cookies are being sent, though some parts of the Site may not function properly without them.
We may use analytics tools to understand aggregate visitor behavior, such as which pages are viewed and how visitors arrive at the Site. This information is used to improve content and does not identify you personally unless you have separately provided identifying information to us.
5. Third-Party Service Providers
We work with third-party service providers to operate our business and the Site, which may include:
Website hosting and forms: Squarespace.
Email marketing and client communications: Mailchimp, Squarespace, and HubSpot.
Payment processing: Square and PayPal.
Scheduling: GReminders and Google Calendar.
AI-assisted tools described in Section 2.
These providers process personal information on our behalf and are contractually or by policy limited in how they may use it. We do not sell your personal information to third parties for their own marketing purposes.
6. International Visitors and Clients
Mind Coach, LLC is based in Louisiana, United States, and the Site and our systems are hosted in the United States. If you are located outside the United States, including in the European Union, European Economic Area, or United Kingdom, please understand that your information will be transferred to and processed in the United States, which may not have the same data protection laws as your home country. By using the Site or engaging our services, you consent to this transfer.
If you are located in the EU, EEA, or UK, you have rights under the General Data Protection Regulation (GDPR) or UK GDPR, including the right to access, correct, delete, or restrict processing of your personal data, the right to data portability, and the right to object to certain processing. To exercise these rights, contact us using the information in Section 13. Where we rely on your consent to process personal data (for example, AI notetaking during sessions), you may withdraw that consent at any time.
7. Your Privacy Rights (U.S.)
Depending on your state of residence, you may have rights under state privacy laws (such as the California Consumer Privacy Act, as amended by the California Privacy Rights Act, and similar laws in other states), including the right to:
Know what personal information we have collected about you and how it has been used and disclosed.
Request deletion of your personal information, subject to certain exceptions (for example, information we must retain for legal, tax, or contractual reasons).
Correct inaccurate personal information.
Opt out of the sale or sharing of personal information. Mind Coach does not sell personal information.
Not receive discriminatory treatment for exercising your privacy rights.
To exercise any of these rights, contact us using the information in Section 13. We may need to verify your identity before completing your request.
8. Data Retention
We retain personal information for as long as needed to provide our services, maintain business and tax records as required by law, and resolve disputes. Coaching-related records are retained consistent with the retention terms in your coaching agreement and applicable professional standards. When information is no longer needed, we take reasonable steps to delete or de-identify it.
9. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect your personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately.
10. Children's Privacy
The Site and our services are not directed to children under 16, and we do not knowingly collect personal information from children under 16. If we learn that we have collected personal information from a child under 16 without parental consent, we will take steps to delete it.
11. Coaching Confidentiality
As a professional coach, Adela Baker adheres to the International Coaching Federation (ICF) Code of Ethics regarding client confidentiality. Coaching is not therapy, counseling, or a substitute for mental health treatment. Details of what is shared, with whom, and under what limited circumstances (such as imminent risk of harm or as required by law) are set out in your individual coaching agreement, which governs in the event of any conflict with this general Privacy Policy.
12. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The "Effective Date" at the top of this page will indicate when it was last revised. Material changes will be reflected on this page; we encourage you to review this policy periodically.
